Cancellation & Rental Policies

Please review these policies carefully before booking Sand n Stars. By completing a reservation, the person making the reservation ("Primary Guest") agrees to comply with these policies and is responsible for ensuring that all members of the reservation party and visitors comply with applicable House Rules and resort requirements.

Reservations & Payment
Payment Schedule

A 25% prepayment is due at the time of booking.
The remaining balance is due 14 days before arrival.
Reservations made within 14 days of arrival may require payment in full at the time of booking.
Failure to pay the remaining balance when due may result in cancellation of the reservation, subject to the applicable booking terms.

Security Deposit
No security deposit is required. The absence of a security deposit does not relieve guests of responsibility for damage, missing property, excessive cleaning, rule violations, or other charges permitted under the rental agreement or these policies.

Cancellation Policy
Our primary cancellation policy is:
- 30 Days or More Before Arrival
100% of paid prepayments are refundable when the reservation is canceled at least 30 days before the scheduled arrival date.
- 14–29 Days Before Arrival
50% of paid prepayments are refundable when the reservation is canceled at least 14 days before the scheduled arrival date but fewer than 30 days before arrival.
- Fewer Than 14 Days Before Arrival
No refund of paid prepayments will be provided for cancellations made fewer than 14 days before the scheduled arrival date.

Refund calculations apply to paid prepayments subject to the terms under which the reservation was booked. Third-party booking, processing, resort, or other fees charged by independent providers may be subject to those providers' separate refund policies.

Guests are encouraged to consider appropriate travel insurance for circumstances that could affect their trip.

Check-In & Check-Out
Check-In: 3:00 PM
Check-Out: 11:00 AM
Please do not enter the condo before the authorized check-in time unless early check-in has been expressly approved. Guests must vacate the condo by 11:00 AM on the scheduled departure date unless a late checkout has been expressly approved.

Occupancy & Guests
The number of overnight guests may not exceed the number listed on the confirmed reservation or the property's maximum permitted occupancy, whichever is lower.
Unregistered additional overnight guests are subject to a charge of:
$50 per additional person, per night.
The Primary Guest is responsible for the conduct of everyone in the reservation party and any permitted visitors.

No Parties or Events
Parties and events are prohibited. The condo may not be used for unauthorized gatherings, receptions, parties, or events.
Guests must comply with all applicable resort occupancy and conduct requirements.

No Smoking or Vaping
Smoking and vaping are strictly prohibited inside the condo. This includes cigarettes, cigars, electronic cigarettes, vaping devices, and similar products. A $500 violation fee may be assessed for smoking or vaping inside the condo, in addition to any documented damage or extraordinary remediation costs to the extent permitted by the rental agreement and applicable law.

No Pets
Pets are not permitted. Guests requiring an accommodation involving a service animal should contact us before booking so that applicable legal requirements and property procedures can be appropriately addressed.

Balcony Safety
- Children: For safety reasons, guests under 18 may not be on the balcony unless an adult is physically present on the balcony with them at all times.
Children must never be left unattended on the balcony.
- Throwing Objects: Nothing may be thrown, dropped, poured, or allowed to fall from the balcony, exterior walkways, or other elevated areas.
This includes, but is not limited to:
  • Cigarettes
  • Food
  • Ice
  • Bottles
  • Cans
  • Toys
  • Trash
  • Liquids
  • Any other objects
Doing so creates an extreme risk of injury and property damage and may also violate Florida law depending on the circumstances.
- Balcony Grills: Gas and charcoal grills are prohibited on the balcony.
- Doors & Balcony: Do not leave the front entrance door open while the sliding balcony door is open. The resulting airflow can cause the entrance door to slam with significant force, creating a risk of personal injury and damage to the door or surrounding property. Guests may be responsible for damage caused by failure to follow this instruction.

Quiet Hours & Respect for Neighbors
Please be respectful of neighboring residents and guests at all times.
Noise must be kept to reasonable levels, particularly during nighttime hours.
Quiet hours begin at 12:00 AM.
Resort rules or local requirements imposing stricter quiet hours must also be followed.

Resort Registration
Laketown Wharf requires separate guest registration for access to certain resort facilities. Guests must complete the resort's registration process and pay the applicable resort fee. At the time of this policy, the resort registration fee is $78 per reservation, regardless of the number of guests or nights. Because this fee and the registration system are controlled by the resort, the amount and requirements are subject to change. Registration provides or activates access associated with:
  • Parking
  • Pools
  • Fitness facilities
  • Resort amenities
  • Guest wristbands/access requirements
Registration instructions will be provided to confirmed guests.

Parking
A valid resort parking pass must be properly displayed while the vehicle is parked on the property. Guests who have not printed their parking pass before arrival may obtain assistance from the resort concierge, subject to current resort procedures. Parking availability, garage access, and parking rules are controlled by Laketown Wharf and are subject to resort policies. Guests are responsible for complying with all posted parking rules and instructions.

Resort Wristbands
Six RFID wristbands are provided for guest use during the stay. Wristbands are required for access to designated resort facilities and must be used in accordance with resort rules. Please do not lose the wristbands. A $25 charge applies for each missing wristband. If a wristband becomes damaged through ordinary use, guests should contact the resort concierge regarding replacement procedures.

At Checkout
All six wristbands must be left on the kitchen counter before departure.
Guests will be responsible for missing wristbands.

Security Cameras
For guest safety, security, occupancy verification, and protection of the property, exterior security cameras operate at the property.
Cameras are located at:
  • The exterior/front-door area
  • The patio/balcony area
These cameras monitor areas exposed to exterior or public view and may record continuously. There are no security cameras inside the living areas of the condo. Guests may not cover, disconnect, reposition, damage, disable, or otherwise tamper with security cameras or the Wi-Fi/network equipment. Unauthorized tampering is subject to a $500 violation fee, in addition to any documented repair or replacement costs to the extent permitted by the rental agreement and applicable law.

Wi-Fi & Internet
Wi-Fi is provided as a convenience to guests. Because internet service depends on third-party providers and equipment, uninterrupted connectivity or specific speeds cannot be guaranteed. Guests must not disconnect, reset, relocate, or tamper with networking equipment unless instructed to do so by the host.

Trash Disposal
Guests are asked to dispose of trash regularly to prevent odors and pests. A trash chute is located near the condo and detailed directions will be provided with guest instructions. Before checkout, please remove all trash from the condo and place it in the designated disposal area.

Towels & Beach Towels
White bath towels provided inside the condo must not be taken to or used at the beach. Guests may be responsible for replacement or extraordinary cleaning costs associated with misuse or damage to towels.

Sand & Excessive Cleaning
We understand that you're visiting Panama City Beach and some sand is inevitable. However, guests are expected to make reasonable efforts to avoid bringing excessive amounts of sand into the condo. A $450 deep-cleaning fee may be assessed if extraordinary cleaning is required due to excessive sand or misuse of white bath towels at the beach.

Property Condition & Cleaning
Please treat Sand n Stars with the same care you would give your own home. The standard cleaning fee covers ordinary cleaning between normal guest stays. It does not cover extraordinary cleaning resulting from excessive mess, misuse, damage, or violation of House Rules. If the condo is left in a condition requiring extraordinary cleaning, an additional cleaning fee of up to $450 may be assessed as permitted by the rental agreement and applicable law.

Damage & Maintenance Issues
Guests are responsible for damage caused by themselves, members of their reservation party, or permitted visitors during their stay, excluding ordinary wear and tear.
Please report damage, maintenance problems, or property issues as soon as they are discovered. We specifically ask guests to report any issue identified upon arrival within 24 hours of check-in so that we have an opportunity to investigate and address it promptly. Failure to report a pre-existing issue promptly may make it more difficult to determine when the issue occurred.

Resort Amenities
Pools, elevators, fitness facilities, restaurants, entertainment venues, parking facilities, beach-access areas, common areas, and other resort amenities are operated or controlled by Laketown Wharf or independent third parties. Availability, hours, rules, maintenance schedules, and closures may change without notice. Sand n Stars cannot guarantee that every resort amenity will be available throughout a guest's stay.

Weather, Travel Disruptions & Travel Insurance
Florida weather and travel conditions can change unexpectedly. Unless otherwise required by law or expressly agreed in writing, cancellations caused by weather, transportation interruptions, illness, personal emergencies, or other circumstances remain subject to the cancellation policy applicable to the reservation. Guests are encouraged to consider purchasing travel insurance appropriate for their circumstances, particularly during hurricane season. Any mandatory evacuation, government order, or circumstance subject to specific applicable law will be handled in accordance with that law and the terms applicable to the reservation.

Checkout Instructions
Before leaving, guests are asked to:
  • Check out no later than 11:00 AM
  • Leave all six RFID wristbands on the kitchen counter
  • Place used towels on the bathroom floor
  • Remove used sheets from the beds and leave them as directed in the checkout instructions
  • Leave the sleeper sofa extended if it was used as a bed
  • Return moved furniture to its original location
  • Remove all trash and place it in the designated trash chute
  • Take all personal belongings
  • Close and secure doors and windows
  • Lock the condo when departing
Detailed checkout instructions may also be provided during your stay.

Personal Property
Guests are responsible for their personal belongings during their stay and upon departure. Please check the condo carefully before leaving. If an item is left behind, we will make reasonable efforts to locate it. Shipping, handling, packaging, or courier expenses associated with returning lost property may be the guest's responsibility.

Violation of Rules
Serious or repeated violations of House Rules, resort rules, occupancy limits, safety requirements, or applicable law may result in action permitted under the rental agreement and applicable law, which may include removal from the property or termination of the stay. Guests remain responsible for applicable charges, damage, extraordinary cleaning, missing property, or other amounts properly due under their reservation terms.

Responsibility of the Primary Guest
The person making the reservation is responsible for:
  • Providing accurate reservation information
  • Ensuring the authorized guest count is accurate
  • Communicating these rules to all members of the party
  • Supervising minors
  • Ensuring visitors comply with applicable rules
  • Protecting the condo and its contents
  • Following resort rules
  • Paying authorized charges associated with the reservation
